Nomination and Selection Procedure
Written nominations will be solicited from the University of Kansas community. Nominations must be signed by the nominator to be valid or received electronically from the nominator. A nomination form must be received in HR/EO no later than the first day of September, December, March or June for that nominee to be eligible for selection in the following quarter. In the event sufficient nominations are not received deadlines may be extended.
Nominations may be submitted by anyone from the university community and need not be from someone in the nominee's own department.
HR/EO will provide assistance in completing a nomination form, if desired.
A completed nomination form will be assigned to ERC teams prior to each quarterly meeting. Each Review team will be composed of a least two members of the ERC. Teams will not be assigned nominees from their own departments, nominees they have previously reviewed, or nominees with close personal relationships.
ERC review teams will use the nomination form as their primary source of information about the nominee. Interviews by telephone will be conducted to check with the supervisor and/or contact person. In addition to the nomination form the committee will take into consideration any letters of support provided, along with working associations both in and outside the department with university faculty, staff and students, including committee members.
Reviews shall be completed by the date of the quarterly meeting where voting on Employees of the Month takes place. These meetings will be generally scheduled during the second week in March, June, September and December of each year. During the selection meeting, each review team will be expected to present the results of its review to the ERC as a whole for discussion. ERC members should not be influenced by review team information from prior consideration of the nominees.
After presentation and discussion, the ERC will select the Employees of the Month in each category for each month in the next quarter. On the ballot in each category, the members shall vote for 2/3 of the number of nominees minus one if there are more than eight nominees; or the number of candidates minus one if there are less than eight nominees. The candidate receiving the fewest votes will be eliminated. Succeeding ballots will follow the same procedure. When the number of candidates still under consideration has been reduced to three, individuals shall be declared to be the Employee of the Month for the next three months of the quarter in that category. Voting will be repeated according to the same process for the second and third months of the quarter.(rev 08/24/05)
